Terms and Conditions

We have provided our terms and conditions for booking of our villas below.

Enquiries

Enquiries can be made from the Enquiry Form page, or by faxing or calling us on:

On receipt of an enquiry, Pooh Bear Villas will provide an email or faxed quotation for the dates that you require, or nearest available dates, within 1 working day. The quotation will show the rate for your stay, together with any additional costs. If you accept our quotation for your party's vacation stay, then send the email back with all details requested.  

Bookings

On receipt of your booking request, Pooh Bear Villas will send either a Booking Confirmation email or Fax. This Booking Confirmation will provide you with the information necessary to make your payment, and confirm your booking. Your party then has 10 days to pay the due amount in order to confirm your booking.

In the event that we do not receive your payment within 14 days, we will regrettably remove your provisional booking from our system. A booking only becomes confirmed on receipt and clearance of your deposit payment to Pooh Bear Villas.

Payment

A deposit payment of 20% of the full rental sum (including pool heat and tax) is due within 14 days of the Booking Confirmation email or fax, in order to confirm your booking. On receipt of your deposit payment, Pooh Bear Villas will send another email or fax to confirm our receipt of your deposit. We then bank the cheque/check and wait for clearance. On clearance of the deposit payment into our account, Pooh Bear Villas will send out a receipt, together with a deposit pack.

Pooh Bear Villas can only provisionally confirm which of our villas your party is staying in at the time of sending the deposit pack. The final villa selection will only be confirmed on receipt of the final payment, to allow us flexibility in our booking schedule. Wherever possible, Pooh Bear Villas will try to meet your wishes for a specific villa (Pooh Corner, Piglet's or Tigger's). If you wish to confirm a specific villa, then a holding charge is made at the time of the deposit payment (please ask for details). 

Payment of the final rental, pool heat (where applicable), and taxes, plus the refundable security deposit is due 8 weeks prior to the arrival date, or before. On receipt, banking, and clearance of your party's final payment, Pooh Bear Villas will send out an Arrival Pack, which includes:

A full receipt, arrival details, directions, maps, key collection information, and 'goodies'.

Payments must be made by cheque/check, bankers draft, or International money order. Pooh Bear Villas cannot accept credit card payments owing to the surcharge levied by the Credit Card companies, which we would have to pass on to our guests.

Please note that our Special Offers are subject to different payment terms (see section below).

Cancellation

In the event that your party needs to cancel it's booking with Pooh Bear Villas, the paid deposit is refundable (subject to the following). If your party cancels the booking up to 12 weeks prior to the arrival date, then Pooh Bear Villas will refund your deposit, less 10% of the total rental cost (incl. pool heat) for administrative charges. If you cancel after that 12 week prior date, then we will regrettably retain the whole of your deposit, to offset the discount that we will need to apply in order to re-book the property.

Guests who fail to pay their final rental by the due date (which is 8 weeks prior to the arrival date) may lose their booking, and their deposit. Pooh Bear Villas send out a reminder to all guests for the final payment approximately 1 month prior to the due date. If we do not receive the payment, we endeavor to contact the guest, but if we receive no payment or communication, then we cancel the booking and retain the deposit.

Pooh Bear Villas recommend that all guests take out holiday injury and cancellation cover with a reputable insurance company/agent. We can provide details of such companies/agents on request.

Security Deposit

Pooh Bear Villas require a refundable security deposit to be paid at the time of final payment. The refundable security/breakage deposit of $250.00 (US) or £150 (UK) will be repaid to your party within 3 weeks of your departure from the house, providing there have been no reported breakage's, and your party has returned the keys to either the property management company or Pooh Bear Villas as instructed.

Pooh Bear Villas reserve the right to retain the security deposit (either in part or full) to cover breakage's or non-return of keys. All guests receive a breakage's form to complete on arrival, to advise of any faults or breakage's found. Any breakage's or losses not reported on this form may be charged against the security deposit paid. Receipts for repairs/replacements will be provided in the unlikely event that such retention of security deposit is required.

Pooh Bear Villas and it's agents reserve the right to pursue a guest for recompense for any and all damages caused which exceed the retained value of the security deposit.

Special Offers

Occasionally, Special Offers are posted on our web site to either fill unpopular weeks, or for other promotional events. The discounts offered for these 'Specials' mean that we require full payment of the Special Offer rental, pool heat (where applicable), and taxes in advance in order to confirm a booking. This advance payment is to ensure that we can offset the discount offered with interest, and also to deter people who can't really afford to stay in a Pooh Bear Villa. Internet Fraud

Unfortunately, the amount of reported Internet Fraud makes some of our guests worry about sending payments to Pooh Bear Villas. We understand this, and hope that our site provides some reassurance that we are legitimate. If you still have concerns, please call us, and we will be happy to provide further information to help convince you that the houses are at least as good as they look on our site, that we are the owners, and that we are entitled to offer the homes for rental.

We would also like to advise that Pooh Bear Villa homes are each registered with the Osceola County hotels commission. The homes are inspected each year in order to receive a licence to rent the homes out to visitors to the Sunshine State. We are able to provide (on request) the licence number for each of the homes.

Disclaimer

Pooh Bear Villas accept no liability for personal loss or injury to guests whilst at the villa.

Guests must ensure that they have adequate insurance cover. We particularly recommend that guests ensure that children are supervised whilst in the pool area.
